POSITION: BUSINESS ADMINISTRATOR

TYPE: Part-time, non-exempt position

REPORTS TO: Director of Development and Operations

Position Description:

The Business Administrator for the Glacier Symphony and Chorale will organize and coordinate office and procedures to ensure organizational effectiveness, efficiency and safety. The position is responsible for developing intra-office calendar and communication protocols, inventory control, filing, record income both earned and contributed and track expenses for bill payment.  Although the position starts as part time, it is anticipated at some point to be a full-time position.

Energetic professional who doesn’t mind wearing multiple hats. Experienced in handling a wide range of administrative and executive support related tasks and able to work independently with little or no supervision. Well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people.

RESPONSIBILITIES:

  • Point person for maintenance, mailing, shipping, supplies, equipment, bills and errands
  • Coordinate IT
  • Manage relationships with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time
  • Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved and that clerical functions are properly assigned and monitored
  • Establish a historical reference for the office by outlining procedures for protection, retention, record disposal, retrieval and staff transfers
  • Responsible implementing office policies by setting up procedures and standards to guide the operation of the office
  • Participate actively in the planning and execution of organization events
  • Responsible for developing standards and promoting activities that enhance operational procedures
  • Establish and monitor procedures for record keeping
  • Ensure security, integrity and confidentiality of data
  • Coordinate schedules, appointments and bookings
  • Review and approve office supply acquisitions
  • Receive inquiries and complaints, forward to appropriate supervisor
  • Prepare deposits for bank including square and credit cards, forward to bookkeeper for recording.
  • Administration of phone systems
  • Monitor and record in-kind donations and raffle sales as requested
  • Point of contact for audit and compiling documents to complete process
  • Take minutes of Executive Committee and Board of Director’s meetings.

POSITION: EVENTS/VOLUNTEER COORDINATOR

TYPE: Part-time, 24 hours/week, non-exempt position

REPORTS TO: Executive Director and Executive Artistic Director

The Events/Volunteer Coordinator plays a vital role in ensuring that the box office and “front of  house” are on par with the professional quality concert presentations of the Glacier Symphony.  The  primary role is to manage the “Front of the House” during all productions including box office, subscriptions, managing volunteers, decorating, and merchandising. You will also recruit, train and manage volunteers for our concert associates program.

RESPONSIBILITIES:

  • Assisting with the annual season/series subscription process for GSC box office for both advance and door sales for all concerts and events.
  • Planning, coordinating and implementing concert events with GS staff
  • Recruiting, manage and train Concert Associates (Ushers, Ticket Processors)
  • Plan/participation in fundraising events per the direction of the Directors .
  • Coordinate external vendors for events caterers, beverages, facilities/rentals, etc.
  • Schedule/Assign/Coordinate volunteers for events and concerts
  • Manage concessions for concert events: product and staff/volunteers, musician food/beverages
  • Lobby and Venue Set-Up (coordinate furniture, banners/sales displays, etc.)
  • Manage box office at concert events
  • Coordination with Stage Manager for concert and back stage set up. 
  • Make written and oral presentations to collaborators, community groups, and other stakeholders as part of the GSC’s outreach functions.
  • Provide oral and written updates to staff, Board members and funders as requested.
  • Be available for flex scheduling to staff concerts and events

Supervisory Responsibility

The Events/Volunteer Coordinator is responsible for the recruitment; training and supervision of GSC volunteers called associates who help provide a quality experience for our guests attending our performances.
